The most common reason a CRM goes out of date is simple: after a call, nobody writes the notes. AI note-takers remove most of that work: they transcribe, summarise and can push the result straight into the deal record.
How it works
- The call or meeting is recorded (video meeting, phone system or mobile app).
- The tool transcribes it and produces a summary in a set structure.
- The summary, action items and key fields go to the CRM contact or deal, either through a native integration or an automation.
- The salesperson reviews and corrects before it’s final.
Options include note-taking features built into meeting platforms and CRMs, dedicated note-taker apps, and custom automations that send a transcript to an AI model with your structure.
Consent first
- Tell people and ask before recording, at the start of the call. Many tools announce themselves when they join a meeting; don’t rely on that alone.
- The UAE’s data protection law requires consent for processing personal data unless an exception applies, and recordings and transcripts are personal data.
- For outbound sales calls, UAE telemarketing rules (as reported) require informing the consumer at the start if the call is recorded.
- Record the consent in the CRM (a checkbox or note).
- Offer to switch off recording if someone declines.
What to capture: a consistent structure
| Field | Example |
|---|---|
| Summary (3–5 lines) | What they need and why now |
| Needs / requirements | 3-bedroom villa deep clean, monthly maintenance after |
| Budget signals | Mentioned AED 1,500/month ceiling |
| Timing | Move-in 15 November |
| Decision makers | Owner + property manager |
| Objections / concerns | Wants same team each visit |
| Next step + date | Send quote by Thursday; follow-up call Sunday |
| Deal stage update | Contacted → Qualified |
Configure the tool’s template or your prompt with this structure so every call is recorded the same way.
Accuracy: a person signs off
AI summaries can mishear names, numbers and dates, and occasionally attribute statements to the wrong person. Have the call owner review the summary (a 1-minute check) before it’s saved, especially prices, dates and commitments. Never send AI notes to the client without review.
Data handling
- Use a business account whose terms suit you (training, retention, location). See using AI with business data safely.
- Set retention for recordings and transcripts: keep the summary in the CRM, delete raw audio after a set period unless you need it.
- Limit who can access recordings.
- Mention call recording and AI processing in your privacy notice.
Rollout
- Pilot with one or two salespeople for two weeks.
- Compare: notes completed per call, time spent on admin, accuracy issues found.
- Adjust the template and integration.
- Roll out with the consent script and review rule.
Frequently asked questions
Does it work in Arabic?
Many tools transcribe Arabic, with varying accuracy for dialects and mixed Arabic-English. Test with your own calls before committing.
Will clients mind being recorded?
Most accept when asked politely and told why (“so I don’t miss anything”). Respect those who decline.
Can it update the deal stage automatically?
It can suggest; let the owner confirm. Automatic stage changes from a summary can be wrong.
