Automating invoice payment reminders without damaging client relationships

Most late payments are forgotten, not refused. Turn on your accounting tool's built-in reminders first (Zoho Books and Xero both offer them, for example), with a friendly note before the due date, a reminder on the day, and firmer follow-ups after. Add a payment link to every reminder, use WhatsApp only for clients who've agreed to it, stop reminders automatically when payment arrives, and hand overdue accounts to a person after a set point.

Chasing payments is one of the most disliked jobs in a small business, so it often doesn’t get done until cash is tight. Then the emails sound stressed, and clients notice. A polite, automatic schedule fixes both problems.

Start with your accounting tool

Most accounting software can send reminders for you, based on each invoice’s due date:

  • Zoho Books has automated payment reminders you can schedule before and after due dates.
  • Xero has invoice reminders for overdue invoices, with configurable timing and wording.
  • Other accounting tools, including QuickBooks, have similar options. Check your plan.

These know when an invoice is paid and stop automatically. Use them before building anything custom.

A reminder schedule that works

When Tone Message
3 days before due Friendly “Just a heads-up: invoice #123 for AED 4,200 is due on Thursday. Pay here: [link]”
On the due date Neutral “Invoice #123 is due today. Pay here: [link]. Already paid? Thank you, please ignore this.”
7 days overdue Polite, firmer “Invoice #123 is now 7 days overdue. Please arrange payment or let us know if there’s a problem.”
14 days overdue Direct “Invoice #123 is 14 days overdue. Please pay by [date] or reply to agree a plan.”
21–30 days overdue A person calls Automation stops; the account owner takes over

Adjust to your terms and clients. Long-standing clients may get a gentler schedule; new clients a tighter one.

Make paying easy

  • A payment link in every reminder: card payment links from your accounting tool or payment provider.
  • Bank details for transfers, with the invoice number as reference.
  • The invoice attached or linked, so nobody has to search for it.
  • A named contact for questions.

Email and WhatsApp

  • Email is the default for invoices and reminders.
  • WhatsApp works well in the UAE for a short reminder with a link, if the client has agreed to receive messages from you on WhatsApp. On the WhatsApp Business Platform, payment reminders about an existing invoice are typically utility templates. Keep offers out of them.

When your accounting tool can’t send WhatsApp messages, an automation (n8n, Make, Zapier) can: trigger on overdue invoices, send a WhatsApp template with the payment link, and log it. Check the invoice’s status immediately before sending, so a paid client never gets a reminder.

When a person steps in

Automation handles the forgetful. A person handles the rest:

  • After the last automated reminder
  • For large invoices, above an amount you choose
  • When a client replies with a problem (dispute, missing PO, wrong amount)
  • For key accounts, where a call is better than any email

Prevent late payment in the first place

  • Clear payment terms on quotes and invoices
  • Deposits for new clients or large projects
  • Invoice promptly when work is done
  • Correct client details (billing contact, PO number, TRN), which also matters for UAE e-invoicing

Measure it

Track monthly: average days to pay, share of invoices paid on time, and total overdue by age (0–30, 31–60, 60+ days). If days to pay drops after you turn reminders on, the automation is paying for itself. See what automations really cost.

Frequently asked questions

Won’t automatic reminders annoy good clients?

A friendly heads-up before the due date rarely annoys anyone, and many clients appreciate it. Keep the tone polite and stop as soon as payment arrives.

Can we add late payment fees?

Only if your contract and terms allow it. Check with your adviser before applying any.

Should reminders come from a person’s email?

Reminders from a real person’s name (via your accounting tool) often get more replies than “no-reply” addresses. Make sure replies reach someone.
