Automated ad reporting: one weekly view of spend, leads and sales

Most small businesses check each ad platform separately and never see spend next to actual sales. Build one weekly view: spend and platform conversions from Google Ads and Meta, plus real enquiries and sales from your CRM or store, and the blended cost per result. Use Looker Studio with native connectors for Google data, a connector or a small automation for Meta and your CRM, and review it at the same time every week.

Logging into Google Ads, then Meta Ads Manager, then the CRM, then a spreadsheet, every week, is why many businesses stop checking. An automated report puts the numbers that matter on one page.

What the report should show

Keep it to one screen:

Section Numbers Source
Spend By platform and campaign Google Ads, Meta, TikTok
Platform results Conversions and cost per conversion as each platform reports them Each platform
Actual results Enquiries, qualified leads, sales, revenue by source CRM or store
Blended cost Total spend ÷ actual results Calculated
Trend This week vs last 4 weeks Calculated
Decisions What you’ll change You

The actual results row is the one most reports miss. Platforms count differently and overlap, so your own data is the truth for totals. See why Meta, Google and GA4 never agree.

Tool options

Option Good for Notes
Looker Studio Visual dashboards, free Native connectors for Google Ads, GA4, Search Console, Sheets. Meta and most CRMs need a third-party connector or a sheet in between.
Google Sheets + automation Flexible, cheap n8n, Make or Zapier pulls yesterday’s numbers from each platform’s API into a sheet daily
Your CRM’s reporting Lead-gen businesses HubSpot and others can import ad spend and show cost per deal on some plans
Paid reporting tools Agencies and many accounts Monthly fees; worth it at scale

A common small-business setup: an automation writes daily spend and results from Google Ads, Meta and the CRM into a Google Sheet; Looker Studio reads the sheet and the native Google sources.

Make the data match up

  • Same dates and time zone (UAE, GMT+4) in every platform.
  • Consistent campaign names across platforms, so you can group them. A naming convention like 2026-11_winter-sale_meta_prospecting helps.
  • Lead source in the CRM set automatically from UTMs or the form. See UTM naming conventions.
  • One currency: AED, converting any platform billed in another currency.

Automation tips

  • Pull yesterday’s final numbers each morning rather than live data.
  • Platforms revise recent days (late conversions, modelled data). Re-pull the last 7 days each run.
  • Log each run and alert if a source fails, so the report never silently goes stale. See the n8n production checklist.
  • Store API tokens securely, under a business account.

The weekly routine (15 minutes)

  1. Read the actual results and blended cost first.
  2. Compare with the last 4 weeks.
  3. Look at which campaigns moved the most.
  4. Decide one or two changes, and write them in the notes column.
  5. Next week, check whether those changes worked.

Frequently asked questions

Do we need a dashboard, or is a spreadsheet enough?

A clear spreadsheet that’s read every week beats a beautiful dashboard nobody opens. Start with the template.

Why don’t platform conversions add up to our sales?

Each platform claims conversions within its own windows, and shared customers are counted more than once. That’s why the report includes your actual results.

How often should the report update?

Daily automatically, reviewed weekly. Monthly for a broader look at trends and budget.
