In many UAE small businesses, customer conversations live on the owner’s phone, a salesperson’s personal WhatsApp, an info@ inbox nobody owns, and Instagram DMs. Messages get missed at weekends, two people reply to the same customer, and when a salesperson leaves, their customer history leaves with them.
What a shared inbox does
| Feature | Why it matters |
|---|---|
| All channels in one place | WhatsApp, email, website chat, Instagram and Facebook messages |
| One business number for WhatsApp used by several people | No more personal numbers |
| Assignment | Each conversation has an owner; no double replies |
| Internal notes and mentions | Discuss a customer without leaving the thread |
| Templates / saved replies | Faster, consistent answers |
| Status (open, pending, closed) | Nothing is forgotten |
| Reporting | First reply time, volume by channel, by person |
| CRM link | Conversation history on the contact record |
WhatsApp: the key point
The WhatsApp Business app works on a limited number of devices for one number. For a team, use the WhatsApp Business Platform (API) through your inbox tool or CRM. It allows many agents on one number, automation and templates. Remember the platform rules: free-form replies within 24 hours of the customer’s last message; after that, approved templates only. See WhatsApp enquiries to your CRM.
Options
| Option | Good when | Watch out for |
|---|---|---|
| Your CRM’s inbox (HubSpot, Zoho, others) | Your CRM plan includes the channels you need, especially WhatsApp | WhatsApp support and seats can depend on plan |
| Dedicated inbox tool (for example respond.io, Trengo, and others) | You need strong WhatsApp features, many channels, or your CRM’s inbox is weak | Check how it syncs contacts and conversations to your CRM |
| Email-only shared inbox (Google Workspace groups, Outlook shared mailbox) | Email is your main channel | Doesn’t solve WhatsApp |
Prices are usually per seat or per contact, and change often, so compare at your team size.
