Reviews help in two ways. Google lists the number of reviews and ratings among the prominence signals for local ranking, and people read them before they call. Most happy customers will leave one if you ask at the right time and make it easy. Most don’t, because nobody asks.
The rules (read these first)
Google’s review policies are strict, and breaking them can get reviews removed or the profile restricted. Businesses must not:
- Offer incentives of any kind (payment, discounts, free goods or services) for posting, changing or removing a review
- Ask selectively: only asking customers you expect to be happy, or discouraging negative reviews (“review gating”)
- Pressure people on the premises to write a review there and then
- Set staff quotas for reviews, or ask for reviews that mention specific content (including staff names)
- Post reviews themselves, or have employees, family or competitors’ staff post them (conflict of interest)
What’s allowed: asking customers for honest reviews of a genuine experience, without incentives or trying to influence the rating or content.
Step 1: get your review link
From your Business Profile, use the option to ask for reviews to get a short link and a QR code. The link opens the review form directly, which removes most of the effort.
Step 2: ask every customer, at the right moment
| Business | Best moment to ask | Channel |
|---|---|---|
| Home services | Right after the job is finished and checked | WhatsApp, same day |
| Clinic, salon | After the visit, once they’re home | WhatsApp or SMS, a few hours later |
| Restaurant, café | On the receipt or table card (QR), no pressure | QR code |
| Online store | After delivery and a few days of use | Email or WhatsApp, as part of your post-purchase flow |
| B2B services | After a milestone the client is pleased with | Personal email from the account lead |
Ask everyone in the same way, including customers who had a problem that you resolved. It’s what the policy requires, and a mix of reviews reads as more trustworthy.
Step 3: make the message short and personal
Example (WhatsApp, after a cleaning job):
Hi Sara, thanks for choosing us today. If you have a minute, an honest review helps other families find us: [link]. And if anything wasn’t right, reply here and we’ll sort it.
Keep it to one request and at most one reminder. On WhatsApp, only message customers who’ve agreed to hear from you. See WhatsApp marketing that doesn’t get you blocked.
Offering a private way to raise problems (“reply here”) is fine. Using it to steer unhappy customers away from reviewing while sending the link only to happy ones is review gating, which isn’t.
Step 4: reply to every review
Google’s guidance on replies: be polite and professional, keep it short, make each reply specific rather than a copy-pasted thank you, and don’t use replies to promote offers.
- Positive reviews: thank them, mention something specific, keep it brief.
- Negative reviews: reply promptly and calmly, acknowledge the issue, don’t share private details, explain what you’ve done or offer to resolve it by phone or email. Customers are notified of your reply and can update their review.
- Fake or policy-breaking reviews: report them through your profile, and reply factually in the meantime.
Replies are reviewed by Google before they appear, usually within minutes.
Step 5: make it a system, not a campaign
- Add the review request to your process: a CRM task when a job is marked complete, or an automated message after delivery.
- Give staff the QR code and the wording, but not targets.
- Track monthly: customers served, review requests sent, new reviews, average rating, reply rate.
Review rate (new reviews ÷ customers served) tells you whether the system works. A steady flow beats a burst followed by silence.
Frequently asked questions
Can we put a QR code on the counter?
Yes. A visible QR code is a request, not pressure. Don’t stand over people while they review.
Can we ask customers to mention our service or area in the review?
No. Google doesn’t allow requesting specific content. Let people write what they want.
Can we import reviews from other platforms or our website?
No. Google reviews must be written by customers on Google. You can show reviews from your own system on your website.
